QIKA Operational AI Systems

Operational AI Systems for Owner-Led Professional Firms

Reduce repetitive administrative work, control AI costs, and preserve human judgment where it matters.

Designed for established, owner-led firms with recurring administrative and information workflows.

The problem

Skilled people are spending their day on coordination

  • Expensive professionals spend time on routine coordination.
  • Intake, email, documents, calendars, and tasks live in disconnected systems.
  • Staff answer the same questions again and again.
  • Shallow work is paid for at frontier-model prices.
  • Important decisions are mixed in with administrative traffic.
  • Confidentiality and AI governance remain uncertain.

The engagement

The service, in four phases

  1. 01

    Operational assessment

DeliverableA map of workflow, labor, software, risk, and cost.

  2. 02

    System design

DeliverableAutomation boundaries, AI routing, permissions, and escalation rules.

  3. 03

    Implementation

DeliverableApproved workflows, integrations, testing, and staff procedures.

  4. 04

    Managed optimization

DeliverableMonitoring, cost control, exception review, and improvements.

The cognitive-cost map

The right level of processing for every task

  1. Deep-model or professional judgmentLevel 5 · reserved for what truly requires it
  2. Human reviewLevel 4 · people approve what matters
  3. Low-cost AI assistanceLevel 3 · small models for drafting and sorting
  4. Deterministic automationLevel 2 · rules, templates, integrations
  5. Routine administrationLevel 1 · where every task enters
Every task gets the least expensive level of processing that can handle it safely.Work moves up the ladder only when it needs to.

Other industries are welcome. The assessment determines fit.

Boundary

The system does not replace licensed professionals, make independent high-risk decisions, or provide legal, medical, or financial advice. Judgment stays with your people.

Economics

Transparent cost architecture

Each cost is listed separately:

  1. Our compensation for assessment, design, and management
  2. Independent contractor costs
  3. Software and infrastructure
  4. Usage-based AI costs
  5. Contingency or expansion work

Outside costs require client visibility and authorization.

Deliverables

What the client receives

  • Current-state workflow map
  • Prioritized opportunity register
  • Risk and data-boundary analysis
  • Proposed system architecture
  • Implementation budget
  • Responsibility matrix
  • Baseline measurements
  • Post-deployment performance report
  • Operating documentation

How we work

Method, not promises

Methodology

Assess before building. Map one workflow, measure its baseline, design the boundaries, implement only what is approved, then monitor and improve.

Deliverables

Every phase ends in a written deliverable the firm keeps, whether or not it proceeds to the next phase.

Explicit exclusions

No replacement of licensed judgment, no fully autonomous high-risk decisions, and no system without an accountable owner at the firm.

Transparent economics

Our compensation, contractor, software, and AI usage costs are shown separately. Outside costs are authorized by the client.

Confidentiality and data handling

Data access is defined in writing before work begins. Systems use the least data and the least capable processing level needed. Sensitive matters are routed to people, not models.

Fit

Is this a fit?

Good fit

  • Established owner-led organization
  • Repeated information-heavy workflows
  • Staff or contractors already involved
  • Measurable administrative expense
  • Leadership willing to document processes
  • Desire for ongoing improvement rather than a novelty demo

Not a fit

  • Requests to replace licensed judgment
  • No accountable project owner
  • Unwillingness to define data access
  • Desire for fully autonomous high-risk decisions
  • One-off chatbot requests with no operational objective

Next step

Start with an Operational Assessment

We map one important workflow, identify its real costs and risks, and determine whether an implementation is economically justified.
